Office Manager
Employee must exercise independent judgment and initiative in completing assignments, assigning responsibilities to others and keeping things running smoothly and with utmost discretion and confidentiality.
Position Responsibilities:
The duties and responsibilities listed below are intended only as illustrations of the various types of work that may be performed. Additional duties may be assigned.
- Adhere to civil process matters per the Civil Procedure Manual. Such procedures may include processing paperwork and assigning work for service, garnishments, Sheriff sales, and condemnations
- Process background checks and records requests, weapons permits and jail records.
- Utilize the TRACS program to receive citations and complaints for submission to the courts.
- Prepare correspondence for Sheriff.
- Process financial transactions appropriately including closing out month end books and paying state and county fees.
- Prepare quarterly reports and other required documentation as requested.
- Responsible for ensuring paperwork is coordinated between the various units within the Sheriff’s Office and the courthouse.
- Respond to phone inquiries in a professional manner obtaining enough information from caller to properly handle the call or direct it elsewhere if needed.
- Greet visitors in a pleasant and professional manner.
- Maintain schedules and update executive calendar with regards to meetings, conferences, appointments and seminars.
- Handle requisition of supplies as needed.
- Ensure work hours of staff are completed timely and facilitate getting appropriate information to the Sheriff to meet payroll deadlines.
- Ensure invoices get collected timely for delivery to Sheriff.
- Provide oversight of office staff and direct their work.

- Individuals must be of good moral character as determined by a thorough background investigation including a fingerprint search conducted of local, state and national fingerprints
- Individual must not have been convicted of a felony or a crime involving moral turpitude.
Education & Experience Required:
- High school diploma or GED.
- One year minimum experience working in customer service or office support position.
- Must be able to obtain IOWA/NCIC certifications within six (6) months of employment and maintain throughout duration of employment.
- Must be willing to become a Notary within six (6) months of hire and maintain throughout employment.
Skills Required:
- Ability to maintain a high level of confidentiality with sensitive information
- Excellent communication skills
- Strong attention to detail
- Ability to adapt to a fast-paced environment with positive energy, drive, and determination
- Strong computer skills with experience working with Microsoft Word and Excel
Additional Preferred Skills:
- Knowledge of civil Law procedures, law enforcement and clerical procedures.
- Experience supervising others.

- Audio/ hearing standards are determined by NENA for public safety dispatchers and employees must maintain those standards. An acceptable hearing baseline without audio assistance is required.
This position may require overtime, varied shifts, holidays and weekends. Travel will be limited to occasional training opportunities.
